Lady Cyclones Covid-19 Policy

The Saint Louis Lady Cyclones Board understands, appreciates and shares concerns surrounding the uncertainty of the upcoming hockey season as it relates to COVID-19.  After all, we all have daughters participating in the program.  While no one knows for sure how this will all play out, including how national, state or local governments might respond, at this time the leagues in which we participate have not announced any cancellation or delayed start of their respective seasons, and as such we are proceeding as if the season will take place as scheduled (doing otherwise is clearly not an option).  However, we also have to be mindful that, despite our hopes to the contrary, the season might not happen as planned.  After thoughtful consideration, we have decided on the following policy as it relates to the effects COVID-19 might have on the 2020-21 hockey season:  

 To the extent season programming is unable to take place as a result of COVID-19, adjustments will be made to the programming, as well as to program fees.  Any adjustments to program fees will be administered through refunds to the extent paid and cancellation of future payments, to the extent of such adjustments.  All adjustments to and refunds of program fees will be made on a pro rata basis, net of any applicable fixed and non-recoverable incurred costs, and will be adjusted for any applicable discounts.  

A few examples:  

• If we are unable to hold practices for a limited period of time because the rink is closed due to COVID-19, and we are unable to reschedule those practices for a later time, we will reduce the club fees by the ice cost per player for practices that are not able to be rescheduled (e.g., if the rink is closed for two weeks, and the team would have held four practices during that two weeks, and we are unable to reschedule those four practices, then the club fees would be reduced by the cost per player of those four practices).  

• If the team is unable to participate in one or more scheduled home games due to COVID-19, then (i) if we are permitted to hold practices, any applicable game ice will be converted to practice ice and (ii) if we are not permitted to hold practices, we will reduce the club fees by the ice cost per player for those games (e.g., if the team is unable to hold two home games, and we are unable to convert the ice for those two home games to practices, then the club fees would be reduced by the cost per player of those two home games).  

• If all future league games are canceled due to COVID-19, but we are permitted to hold practices, any applicable game ice will be converted to practice ice, and we will operate the remainder of the season as a practice season, focusing on skating and skills development, and will schedule friendly games and tournaments to the extent permitted by applicable restrictions.  While we believe a practice season will have considerable value for our players, and certainly better than no hockey activity at all, we understand that some might not share that opinion, and so pro rata refunds will be available for those that do not wish to participate.  

• If the programming is cancelled in its entirety, whether prior to or subsequent to evaluations, such that no games or practices are permitted to be held, then we will refund program fees on a pro rata basis based on the programming that was able to take place prior to when such cancellation is effective.  

This is of course a fluid situation that we will continue to monitor.  Please contact any of the Board members with any questions or if you have a specific situation that is not addressed by the foregoing policy and we will address it to the best of our abilities.  While we have attempted to put a fair and equitable policy in place that will address what we think are the most potential outcomes, we likely did not think of everything, so we appreciate your patience and understanding as we work through any additional unforeseen situations. Please remember to always follow all applicable governmental regulations, and if you are showing any symptoms or are not feeling well, please stay home.  

The Saint Louis Lady Cyclones is a volunteer run not-for-profit organization that operates for the benefit of its members.  We do not have paid administrators, but we do have to cover our costs which is the basis for the refund policy.
